Role Overview

As a Maintenance Dispatcher, your primary responsibility is to lead and manage a team of maintenance technicians. You will set daily expectations, provide coaching, hold technicians accountable to performance and documentation standards, and ensure they deliver high-quality work on time.

You will also coordinate daily maintenance operations-assigning work orders, prioritizing urgent requests, and serving as the central point of communication to keep technicians, residents, and internal teams aligned.


Key Responsibilities

Leadership & Accountability


  • Set daily expectations for technician start times, routes, documentation, and communication.

  • Provide real-time coaching and feedback to improve technician performance.

  • Address missed appointments, delays, incomplete notes/photos, or communication issues immediately.

  • Document performance concerns and partner with leadership when corrective action is needed.


Dispatching & Operations

  • Schedule and assign maintenance technicians based on skill set, location, and workload to ensure timely completion of all work orders.
  • Monitor technician progress, update job statuses, and communicate changes across teams in real time through AppFolio, Podio, and internal channels.
  • Communicate proactively with residents to confirm appointments, share updates, and manage expectations.
  • Review technician timecards, materials, and notes to verify accuracy before billing or closing work orders.
  • Track KPIs such as response time, completion rate, and scheduling accuracy to support continuous improvement efforts.
  • Collaborate with the maintenance team to adjust coverage, resolve scheduling conflicts, and identify process enhancements.

Required Qualifications

  • 5+ years of experience in dispatching, scheduling, field service coordination, or maintenance operations.
  • Proven ability to manage and dispatch 3-5 technicians simultaneously while holding them accountable and minimizing downtime or overlap.
  • At least 3 years (5 preferred) of direct people management experience in a performance-driven role, including coaching, holding standards, and documenting corrective action.
  • Strong understanding of maintenance operations, repair timeframes, material/labor considerations, and technician skill alignment.
  • Advanced English communication skills, both written and verbal.
  • Reliable high-speed internet connection (50-100 Mbps download / 10-20 Mbps upload), dual-monitor setup, and functioning camera/microphone.

Preferred Qualifications

  • Familiarity with AppFolio, ServiceTitan, Podio, or other work order/field service management systems.
  • Experience coordinating high-volume work orders while balancing technician availability, resident needs, and operational priorities.
  • Prior experience in property management or facilities maintenance.
  • Demonstrated ability to identify operational bottlenecks and suggest or implement process improvements.
  • Strong analytical skills and comfort working with KPIs, performance dashboards, and productivity metrics.
  • Experience communicating with residents, clients, or customers in a service-oriented role.
